Close out a trip and settle the invoice

Reconcile quoted vs actual once every leg has flown, and mint the adjustment.

  1. Open the trip's Trip Workspace and select the Close-out tab. It's only fully available once every leg on the trip is terminal — flown or canceled; an open leg shows an explicit not-yet-available state rather than a guessed number.
  2. Review the quoted-vs-actual lines: block time, ancillary service-order costs, and the invoice's quoted reference lines.
  3. Add any operator-entered adjustment with Add Line — a description plus quoted and actual amounts — for a cost that isn't captured anywhere else.
  4. Read the close-out total strip: quoted, actual, and the variance between them.
  5. If the variance is outside your tenant's threshold, mint the adjustment: Mint Supplemental Invoice for an overage, or Mint Credit Memo for a refund. Either drops into the existing Invoicing or Refund Desk as a draft — it is never sent automatically.
  6. Once the variance is settled — within threshold, or covered by an explicit write-off — select Mark Financially Closed.
  7. Generate a Settlement Statement when you need one document that shows the original invoice, payments received, and any minted adjustment together. Regenerating it creates a new version; it never overwrites the last one.

Close-out asserts no compliance verdict of any kind — it's strictly a financial reconciliation. If the trip's cancelled legs already have a credit memo drafted in the Refund Desk, this panel cross-references it rather than drafting a duplicate.
