Follow up on open quotes and re-engage
Chase a sent quote before it goes stale — what creates a follow-up task automatically, and what to do with one.
A sent quote that nobody chases is a quote that quietly expires. Obsidian Jet keeps a follow-up task list against your open quotes — some tasks you create yourself, some the system creates for you — so a quote never goes cold just because nobody remembered to check on it.
1. Some follow-ups are created for you
Sending a quote, or a quote nearing its expiry, creates a follow-up task automatically — you do not have to remember to schedule the check-in yourself.
- When a quote is sent, a follow-up task is auto-created against it.
- As a sent quote nears its validity window's end, a second, separate follow-up is auto-created nudging you to re-confirm or re-send it before it expires.
- Both auto-created tasks carry a small AUTO badge so you can tell a system nudge from one you scheduled yourself.
2. A customer reply can also raise a task
If a customer responds from their quote link — asking a question instead of accepting, asking for an alternative, or sending a counter-offer — that lands as a follow-up task too, tagged distinctly so it reads as needing a reply, not just a routine check-in.
- A question or an alternative-option request from the public accept page creates a task badged CUSTOMER · QUESTION or CUSTOMER · ALTERNATIVE.
- A live counter-offer or discount request from the quote link creates a task badged CUSTOMER · COUNTER-OFFER.
3. Work the list before a quote goes stale
- Open Follow-ups. Tasks are grouped OVERDUE, DUE SOON (within 24 hours), and UPCOMING.
- Each task shows the quote it came from as a link, not a bare id — click it to open the originating quote directly (a counter-offer task opens straight to the quote's negotiation section).
- From there you can mark it done once you've followed up, or snooze it forward by a day, three days, or a week if it isn't time yet.
- You can also schedule your own follow-up against any of your saved quotes, rather than waiting for an auto-created one.
If a quote you followed up on is ultimately declined rather than won, record why — see Record win/loss and decline reasons.
